Job Description

Project Administrator – TEMP 

The Project Administrator supports the successful planning and delivery of on-site manufacturing projects. This role involves coordinating activities, tracking progress, and maintaining project documentation to ensure work is completed on time, within budget, and to quality standards.

Key Responsibilities

  • Assist in planning and scheduling project tasks.

  • Monitor progress and track milestones and deliverables.

  • Coordinate with internal teams, subcontractors, and suppliers.

  • Manage material deliveries and site logistics.

  • Support health and safety compliance by managing documentation and access.

  • Take meeting minutes and follow up on action items.

  • Maintain up-to-date records, including scope changes, schedules, and correspondence.

  • Prepare and distribute project reports (daily/weekly/monthly).

  • Update project management systems and trackers.

  • Assist with invoicing by tracking completed work and collecting necessary documentation.

Skills & Competencies

  • Strong organizational and multitasking abilities.

  • Excellent communication and interpersonal skills.

  • Proficient in project management tools (e.g., MS Project, Primavera).

  • Understanding of construction processes and documentation.

  • Ability to read and interpret project plans and specifications.

  • Detail-oriented with strong problem-solving skills.

Relationships

  • Work closely with project teams, contractors, and other departments.

  • Maintain good relationships with clients and end-users.

Other Requirements

  • Understanding of how project activities impact compliance and site operations.

  • Liaise with auditors and support finance-related processes.

  • Serve as a point of contact between project, finance, and business development teams.

Qualifications & Experience

  • National Diploma or equivalent in Project Management, Engineering, or related field.

  • 3+ years of experience in a similar role, preferably in an industrial environment.

  • Familiarity with heavy industrial sites is an advantage.

  • Strong skills in MS Office and project tracking tools.

  • Knowledge of procurement and invoicing processes.

  • Able to work under pressure and adapt to changing project needs.
